Do you know where your students are?
DECEMBER 1, 2011 is right around the corner!
It’s VERY important that you maintain an accurate caseload listing in EXCENT. Stay in touch with Christine at chenry@horrycountyschools.net when new students are enrolled, students transfer or students withdraw/become inactive. If a student is a “no show” for this school year, let Christine know so that student can be removed from your roster. If you have not physically seen the student this year, let Christine know! Thanks so much for your help with keeping our special education enrollment data current and accurate. YOU are our lifeline to this information!
Got Preschool?
Do you serve children ages 3-5 either through special education or related services? Then this message is for YOU! The US Department of Education has adjusted the Preschool placement options to incorporate the time children ages 3-5 spend in their “natural environments.” To capture this information, school service providers will need to determine how much time children are spending in day care settings, child care facilities, Head Start, child development classes, etc. EXCENT has been updated to reflect these changes. If you have any questions regarding these changes, please contact any of your Regional contacts. Please click here for a flow chart to assist you with making the correct placement LRE decisions.
What about High School?
If you serve students ages 14-21, please be sure EVERY student’s IEP contains the requirements for Transition Planning. Here’s your link to these requirements. The SCDE will be randomly extracting our IEPs on a quarterly basis. Make sure your IEPs are compliant! Those procedures can be found here.

Another reminder…..Many of our IEPs have nebulous present levels of performance and wish-washy annual goals. We have two (2) resources to assist special educators with their IEP development relating to present levels of performance and annual goal writing…

2. LRP provides these key points from a legal perspective on developing present levels of performance and annual goals. Please contact your regional Program Specialist or Ruth Lilly, Coordinator, if you have any questions regarding these resources.

The DO Records Room has moved to the former Maintenance Building next to Conway High School. Please be sure to address your envelopes to the HCS Records Center. Remember: Be a diligent steward of the District’s resources and make sure you send in the appropriate paperwork to the DO Records Room according to the timeline outlined in our Records Procedures. As a reminder…
What documents need to be sent to the DO Records Room? “…all original forms/documents and signature pages will be stored in the DO Records Room. Copies of these documents will be stored in the student’s school folder. Additionally, only those forms, signature pages or other documents not contained within EXCENT are required to be submitted/collected via the DO Records Room.”
When should documents be sent? Within 5 school days of a Staffing or an IEP meeting:a. the special educator case manager will submit to the DO Records Room: the IEP-Section X (signature page); the current IEP/Staffing Meeting Summary (IEP-10); the ESY and/or BIP signature pages, if appropriate; and any parent and student responses to IEP Meeting invitations.b. the school psychologist/speech clinician will submit to the DO Records Room: the signed Consent for Placement (Parcon-1), if initial eligibility; the Reevaluation Review Plan (Parcon-14), if a reevaluation review was conducted, with signed Consent for Reevaluation if additional evaluations were determined necessary; the Evaluation Results Summary and Eligibility Determination (P-1), when any assessment information was gathered; and/or the Evaluation Repor(s) not already submitted. PLEASE, don’t wait until the end of the year to send in your paperwork! We need your help in making sure the DO Records Room staff are not bombarded with end-of-the-year paperwork submissions.
Please be sure you are using the Attachment feature in EXCENT to attach invitations, Plans for Independence, etc. and that you mark the IEP Complete after your IEP meetings.
