School or Department Based Grant: $2,500 or Less
There are two possible outcomes for grants in this category:
- Grant not awarded – no further information is needed.
- Grant is awarded – please complete the Grants Awarded Form.
Grant Amount Over $2,500
- Fill out the over $2,500 Grant Application Form (GAF).
- The district grant facilitator will respond to the applicant within 3 business days of receiving the GAF.
- Schedule time with the district grant facilitator as needed to complete the application process.
- All relevant stakeholders are notified to provide necessary support and approvals.
- If a grant permits only one submission from the district, the applicant will be contacted to submit an overview summary response for the review process.
- A team of reviewers will rank the responses to determine the final applicant. The district grant facilitator will notify all applicants of the outcome.
- Grant application is completed and submitted.
- Send a copy of the application to the district grant facilitator.
School site grant managers and bookkeepers must work closely with their assigned HCS grant accountant. Requests for reimbursement, expenditures, and reports must align with grant award accountability.
Per district policy: “...an application for a competitive grant shall not be submitted if it would require expenditure (matching funds) of District funds during and/or after implementation.”
Time Sensitivity: Grant applications require time-sensitive work. It is essential to plan ahead, secure approval, and begin the process more than a month prior to the deadline for submission.
